MSP Client Onboarding Control Checklist

A fast check for the gaps that turn a new-client onboarding into a month of follow-ups, owner escalations, and “I thought someone else had that.”

1. Is one person accountable for the onboarding outcome?
Not “the team.” One named owner who can see the whole handoff.
2. Is the completion definition explicit?
What must be true before onboarding is considered done?
3. Are required client approvals visible and evidenced?
Record the approval, ID, timestamp, or source—not just “approved.”
4. Does every handoff have an owner and due date?
Sales → project → support → billing → security should never rely on memory.
5. Are missing inputs treated as exceptions, not invisible delays?
Name the exception, assign it, and escalate it deliberately.
6. Is onboarding cycle time measured?
Track actual elapsed time against a threshold so drift becomes visible.
7. Are recurring onboarding misses linked to a control change?
A repeated problem should produce a control question, not another reminder.
8. Are new controls marked untested until verified?
A documented control is not an effective control until it actually works.
9. Does the PSA/RMM show the same truth as the onboarding tracker?
If systems disagree, designate the record that governs the decision.
10. Is there a weekly review of open onboarding exceptions?
Review owners, due dates, blockers, decisions, and stale items.
11. Can the owner step away without losing visibility?
The system should surface what needs attention without routing everything through the founder.
12. Can you explain why the last onboarding was late in one minute?
If not, the operating record is probably fragmented.
